Effective October 16, 2026
Rent Martha’s Vineyard (rentmarthasvineyard.com) is run by Grace Hagerty Real Estate, Inc. (“we”, “us”), a local real estate and vacation rental company on Martha’s Vineyard. This policy explains what personal information we collect through this website and our Guest Hub and Owner Hub, how we use it, who we share it with, and the choices you have.
- We collect what you give us (like your name, email and dates) to answer you, book your stay and run the homes we manage.
- We never sell your personal information, and we don’t share your phone number with anyone for their own marketing.
- You can unsubscribe from emails at any time, reply STOP to any text, and ask us to see or delete your information.
1. Information we collect
What you give us
- Inquiries and requests: your name, email, phone number, travel dates, number of guests, the homes you’re interested in, and anything you write in a message. This includes the contact form, “Ask about these dates”, “Tell me if it opens up”, “Remind me to book later”, emailed quotes, and the First Pick list.
- Bookings: the details needed to reserve and run your stay, such as your address, guests in your party, payment information, and your signed rental agreement.
- Guest Hub: your booking number and email to sign in, plus anything you send through it: arrival details (how and when you’re arriving, cars, guest count, a mobile number for arrival day), reports of a problem at the house, reviews, and rebooking requests.
- Homeowners: if you list or ask about listing your home, details about you and your property. In the Owner Hub, this includes contact details, the people you give access to, booking preferences, rates, documents you upload (such as your registration certificate and insurance), and payout details.
What we collect automatically
- Usage information: pages viewed, links and buttons clicked, the website that sent you here, search terms on our site, approximate location (city or region), browser and device type. We use Google Analytics for this.
- Campaign details: if you arrive from an ad or a link with tracking tags, we note the source with any inquiry you send, so we know which advertising works.
- Cookies and similar storage: see section 5.
We do not knowingly collect sensitive information such as government ID numbers through this website. Card payments are processed by our booking and payment providers; we do not store full card numbers on this website.
2. How we use your information
- To answer your questions, send quotes, and check dates with homeowners.
- To book, confirm and manage your stay: payments, rental agreements, arrival information, door codes, and help during your stay.
- To tell you when dates you asked about open up, to send the reminders you request, and, if you ask to be on our First Pick list, early notice of open weeks and new homes.
- To share arrival times and guest counts (never your phone number or payment details) with the owner of the home you’re renting, and to arrange cleaning and maintenance.
- To manage homes for our homeowners, including rates, calendars, statements, tax and registration requirements.
- To improve the website and understand which pages and ads are useful.
- To prevent fraud and spam, protect our guests, owners and homes, and meet legal, tax and accounting duties.
3. Emails, calls and text messages
When you send us an inquiry with your email or phone number, you agree that we may contact you about it by email, phone or text message. We may also send follow-up messages about available homes. Consent to receive marketing messages is not a condition of renting or buying anything.
- Texts: message frequency varies. Message and data rates may apply. Reply STOP to any text to stop receiving them, or HELP for help.
- Email: every marketing email has an unsubscribe link.
- Messages about a booking you’ve made (confirmations, payment reminders, arrival information) are part of the service and continue while your booking is active.
We do not sell, rent or share your mobile number or text messaging consent with any third party for their own marketing.
4. Sharing your information
We share personal information only as needed to run our business, and never sell it. The people and companies we share with are:
- Homeowners of the homes you inquire about or book, to the extent needed for your stay.
- Service providers who work for us under contract, including our booking and payment system (OwnerRez and its payment processors), our customer relationship system (Follow Up Boss), website hosting and forms (Netlify), e-signature (DocuSign), email, accounting, cleaners, caretakers and maintenance vendors.
- Booking sites such as Vrbo or Airbnb, when you book through them.
- Analytics and advertising: Google (Google Analytics) receives usage information as described in section 5.
- Authorities when required by law, such as tax filings with the Massachusetts Department of Revenue and town short-term rental requirements, or to protect rights, property and safety.
- A buyer or successor if our business is sold or reorganized, under the same protections.
5. Cookies and analytics
We use a small number of cookies and similar browser storage:
- Necessary: to keep you signed in to the Guest Hub or Owner Hub, remember homes you save, and remember your search.
- Analytics: Google Analytics sets cookies to count visits and see how the site is used. Google’s use of this data is described at policies.google.com/technologies/partner-sites. You can opt out with the Google Analytics opt-out add-on or by blocking cookies in your browser.
- Embedded tools: the booking calendar and form (OwnerRez) and maps may set their own cookies when they load.
The Guest Hub and Owner Hub do not use Google Analytics.
6. How long we keep information
We keep inquiry and booking records for as long as we have a relationship with you and as long as needed for tax, accounting and legal purposes (generally up to seven years after a stay), then delete or anonymize them. You can ask us to delete your information sooner, subject to those legal requirements.
7. How we protect it
We protect personal information with reasonable administrative, technical and physical safeguards, consistent with Massachusetts data security regulations (201 CMR 17.00). These include encrypted connections (HTTPS), access only for people who need it, private sign-in links for the Owner Hub, and door codes shown in the Guest Hub only close to arrival. No system is perfectly secure; if a breach ever affects your information, we will notify you as the law requires.
8. Your choices and rights
- See, correct or delete the personal information we hold about you: email or call us (section 11). We will respond within 30 days and may need to confirm your identity first.
- Stop marketing: unsubscribe from emails, reply STOP to texts, or ask us to remove you from our lists.
- Cookies: block or delete them in your browser settings. Some features, like signing in to the Guest Hub, need them.
Depending on where you live, you may have additional rights under your state’s privacy law. We honor these requests from anyone, wherever you live.
9. Children
This website is for adults planning a stay or managing a home. We do not knowingly collect personal information from children under 13. If you think a child has sent us information, contact us and we will delete it.
10. Other websites
Our pages link to other websites, such as ferry lines, restaurants and booking sites. Their privacy practices are their own, so please read their policies.
